What we collect through this website and during a job, what we do with it, how long we keep it and what you can ask of us.
1. Who we are
Dependable Heating is a heating and plumbing business serving London and the surrounding towns. For the purposes of the UK General Data Protection Regulation and the Data Protection Act 2018 we are the controller of the personal information described here.
2. What we collect and why
Through the Quick Quote form: your name, phone number, email address, postcode, the service you need and what you tell us about the job. We use it to price the job, contact you to arrange the visit, and carry out the work. The lawful basis is that it is necessary to take steps at your request before entering into a contract, and then to perform that contract.
During a job: the property address, details of the appliances and installation, photographs of the work, readings and test results, and the details of a tenant, agent or other contact you give us for access. We use it to carry out the work, produce the paperwork the law and the manufacturers require (such as gas safety records and commissioning records), and keep a record of what was done. The lawful basis is performance of the contract and, for gas safety records, our legal obligations.
Through the website: this site is served as static pages. It does not set analytics or advertising cookies and does not use tracking scripts. The embedded Google Maps on some pages are loaded from Google when the page is displayed, and Google may set its own cookies and collect usage information under its own privacy policy. Our hosting provider records standard server logs (IP address, browser, pages requested) for security and to keep the site running; those are retained briefly and not used to identify visitors.
3. Who we share it with
The engineers and staff involved in your job. Manufacturers, when registering a warranty in your name. Building control, when notifying work that must be notified. A tenant, landlord or agent you have named as a contact, to the extent needed to arrange access and provide the paperwork. Our accountants and IT and hosting providers, who process data on our behalf under contract. We do not sell personal information and do not pass it to anyone for marketing.
4. How long we keep it
Enquiries that do not become a job: up to 12 months, so a follow-up enquiry can be dealt with in context. Job records, quotations, invoices and paperwork: 6 years from the end of the tax year in which the work was done, because tax and contract law require it. Gas safety records: at least 2 years, as the regulations require, and in practice with the job record. Photographs and test results: with the job record.
5. Where it is kept
On systems within the UK or on services that provide the safeguards UK law requires for data processed elsewhere. Access is limited to the people who need it for the purposes above.
6. Your rights
You can ask for a copy of the personal information we hold about you, ask us to correct it, ask us to delete it where we have no continuing need or obligation to keep it, object to or ask us to restrict particular uses, and ask for the information you gave us in a portable form. To do any of these, contact us using the details on the contact page or on your paperwork. We will respond within one month. If you are not satisfied, you can complain to the Information Commissioner's Office at ico.org.uk.
7. Reviews
Reviews shown on this site are collected through third-party review platforms in the reviewer's own name and are displayed as published there. If you have left a review and want it removed from this site, contact us.
8. Changes
If this policy changes, the new version will be published on this page. Material changes to how we use information already collected will be notified to the people concerned.
